Fees, Policies, and Terms of Service

Reservations

A 25% non-refundable deposit of the total cost is required to make a reservation. The remaining balance is due at least 3 days prior to delivery. Adjustments in quantity of reserved items can be made prior to final payment.

Delivery / Pickup

Delivery and Pickup are all charged at a flat rate starting at a minimum of $200* to $500 round trip in locations from Astoria to Manzanita, depending on location. Please contact us for further distances. Setup fees are separate and listed below.

Setup / Teardown Fees

Delivering items on the Coast can be both challenging and difficult and require some strategic planning. Often rentals are wanted on the beach or to be delivered in the middle of a heavy tourist location, making it difficult to maneuver for delivery and a challenge to set up. We ask that all those renting understand that we will need specifics and are here to help. Therefore, our setup fee is dependent on each individual event need and location, all fees according will be discussed and added to the final contract.

Cleaning Fees

All rentals are cleaned after every event. However, sand and grass require a significant amount of added cleaning and is labor intensive due to the coastal elements. Therefore, an added cleaning fee is required if you are setting up chairs and tables in the sand or on grass.

Weather

Cannon Beach Party Rentals cannot predict the weather. We try our best to accommodate our clients as best as we can. We constantly check weather and tides. However, mother nature is fickle. Unfortunately, we cannot refund money on day of because it was raining. This is the Pacific Northwest and weather is unpredictable.

  • All of our events require a significant amount of planning and administration work pre-event. Therefore, all deposits are non-refundable. We are dedicated to your event and work hard prior to the final execution.

  • You will have 5 days prior to your event to calculate weather and will not be charged if you decide to cancel. The decision must be made prior to your final payment. If your final payment has been submitted, all funds are non-refundable.

  • Cannon Beach Party Rentals and team will try our best to help you have the best outcome possible, there have been several occasions where a bonfire was rained out in the evening and we moved the bonfire to the morning for scones and mimosas by the fire. We try to think outside the box and to facilitate the best outcome for your event.

  • WIND ~ Canopies cannot and will not be erected during excessive wind. Our team can only determine this on a case by case basis. If you rent a canopy you are required to tie off the canopy properly. Liability is solely with the renter and can be rescinded by vendor if the conditions are not adequate.

Holiday Fees

Holiday weekends on the Coast can be very busy and require preparation for driving and getting to our destinations on time. We charge an additional 20% fee of your total rental for holiday weekends. You will find that most vendors on the coast charge a 20% incidental service fee. We choose to not do this as a regular practice but rather due to the congestion and added difficulty during the holiday weekends need this to accommodate for the added time needed.

Rental Policy

Rental fees are per event. Responsibility for rental items remains with the client from the time they are delivered to the time of return; this includes table linens, centerpieces, chairs, tables, furniture, and backdrops. Additional fees will be charged for lost or damaged rental items.

Client Responsibility

  • Client assumes full responsibility for injuries to persons or damages to rental items and agrees to release Cannon Beach Party Rentals, LLC from all liability while the rental items are in the client's possession.

  • Items shall not be left overnight on public property.

  • Knowledge of the local tides is important and required for sunset/sunrise rentals.

All other terms of service are located on our Rental Contract and can be seen if requested prior.

Limit of Liability

Maximum Damages. Client agrees that the maximum amount of damages he or she is entitled to in any claim relating to this Agreement or Services provided in this Agreement are not to exceed the Total Cost of Services provided by Vendor.

Loss of Product. In the event that any or all product(s) are lost, such as damage to or loss of a component of the product necessary for final delivery, Vendor shall refund Client a pro-rated portion of the Total Cost based on the amount of Services that were completed/provided against the amount of Services that were agreed to be completed/provided.

Indemnification. Client agrees to indemnify, defend and hold harmless Vendor and its affiliates, employees, agents and independent contractors for any injury, property damage, liability, claim or other cause of action arising out of or related to Services and/or product(s) Vendor provides to Client.

Impossibility

Force Majeure. Notwithstanding the above, either party may choose to be excused of any further performance obligations in the event of a disastrous occurrence outside the control of either party, such as, but not limited to:

  1. A natural disaster (fires, explosions, earthquakes, hurricane, flooding, storms or infestation); or

  2. War, Invasion, Act of Foreign Enemies, Embargo, or other Hostility (whether declared or not); or

  3. Any hazardous situation created outside the control of either party such as a riot, disorder, nuclear leak or explosion, or act or threat of terrorism.

Failure to Perform Services. In the event Vendor cannot or will not perform its obligations in any or all parts of this Agreement, it (or a responsible party) will:

  1. Immediately give Notice to Client via the Notice provisions detailed in this Agreement; and

  2. Excuse Client of any further performance and/or payment obligations in this Agreement.
